Managing subscriptions to reports

When you schedule a report, you can create a distribution list so that specific users are notified when the report runs. You can also make a report available for subscription.

When you are subscribed to a report, you receive a copy of the report by email each time the report runs. If you schedule a report, you are subscribed to that report by default.

Note: The system prevents delivery of a report to subscribers who lack the privileges required by any properties in the report. In this case, the subscriber receives an email explaining that the report cannot be attached because it contains data that requires permissions.

In the Case Manager portal, to manage subscriptions to reports that you scheduled:

  1. In the Report Browser, click the gear icon for the report shortcut and select Schedule to open the Schedule Reporting Task form.
  2. In the Task Output Processing section, select the Enable authorized users to subscribe to task notifications check box to allow authorized users to subscribe to the report.
  3. To create a distribution list of users who will receive notifications when the report runs, select the Send Notifications to the following users check box and specify the Operator ID for each user. Click the plus icon to add recipients.
    Also, specify whether to attach the report output to the email or to provide a link to the output.
  4. To customize the email that is sent to subscribers, click Configure Notification Message, and specify the subject and body of the message.
  5. Click Submit to save your changes.
