Creating and configuring a parts return request

As a Warranty system administrator, configure a common request program to create a parts return request. After a common request program is configured, to automatically generate a parts return request, a dealer creates a repair order or a Warranty claim.

A parts return request is created based on the following configuration options for a request program:

Creating a parts return request for each selected part

  1. Log in as a Warranty system administrator by using the WarSysAdmin operator ID.
  2. In the header of Dev Studio, click Dev Studio > Common Request Program > Add Program.
  3. Select the parts return program type and supporting type, and click Create.
  4. Configure filters, criteria, and responses based on your business needs.
    • Set the effective end date for program to activate and deactivate at the specified time. The effective date is an automatic program activation date. The end date is an automatic program deactivation date.
    • To configure the applicable regions that are connected to the program:
    1. Click Add filter and select a Region name and Country.
    2. To confirm your selections, click Add.
    • Define the criteria that are required for the program to start. Configure a qualifier and a value for the selected property type.
      • The Equals qualifier applies only to numeric or text values.
      • The EndsWith and StartsWith qualifiers apply only to text values.
    • To configure the response type as a parts return request:
      1. Select Create Case type and Parts Return Request as a case type.
      2. To confirm your selections, click Next.
  5. Click Choose part to return. If a part that is available in the bill of materials matches a selected parts, the system automatically creates a Parts return case based on the information.
  6. Enter a number and interval of parts to return.
    • If a part number and interval equal 0, a parts return program is active until the expiration date is reached.
    • If a part number equals 0, but an interval does not, a single part is returned for each interval.
    • If a part number equals 0, and an interval is, for example, set to 5 on a claim unit, review the following conditions:

    • If an interval equals 0, and a part number is for example 4 on a claim unit, review the following conditions:

  7. Enter a return percentage. A return percentage indicates that the system randomly creates parts return requests for the repair orders.
  8. Enter a shipping code. Enter a manufacturer or a supplier address.
  9. Select a carrier.
  10. Select a return mode based on your business needs.
  11. Decide whether an inspection is needed or not. If you enable this option, the parts return request invokes an Inspection subcase for each part.
  12. Review the provided information and click Finish.

Creating a Parts return request for all parts in a claim

  1. Log in as a Warranty system administrator by using the WarSysAdmin operator ID.
  2. In the header of Dev Studio, click Dev Studio > Common Request Program > Add Program.
  3. Select the Parts return program type and supporting type, and click Create.
  4. Configure filters, criteria, and responses based on your business needs.
    • Set the effective end date for the program to activate and deactivate at the specified time. The effective date is an automatic program activation date. The end date is an automatic program deactivation date.
    • To configure the applicable regions that are connected to the program:
    1. Click Add filter and select a Region name and Country.
    2. To confirm your selections, click Add.
    • Define the criteria that are required for the program to start. Configure a qualifier and a value for the selected property type.

    • To configure the response type as a parts return request:

  5. Select parts to exclude, if necessary.
  6. Enter a number and interval of parts to return.
    • If the created parts return work object contains two different parts, then two return authorizations are created.
    • If the parts return work object contains a single part, then a single return authorization is created.
  7. Enter a return percentage. A return percentage indicates that the system randomly creates parts return requests for the repair orders.
  8. Enter a shipping code. Enter a manufacturer or a supplier address.
  9. Select a carrier.
  10. Select a return mode based on your business needs.
  11. Decide whether an inspection is needed or not. If you enable this option, the parts return request invokes an Inspection subcase for each part.
  12. Review the provided information and click Finish.
